1. Roles & Data Controller / Processor Relationships

As a Data Processor: When you upload buyer leads, channel partner details, site visit logs, or customer profiles into PropX, You are the Data Controller, and PropX acts strictly as a Data Processor. We process such data exclusively according to your documented instructions and account setup.

As a Data Controller: PropX acts as a Data Controller for account creation data, billing details, website visitor telemetry, and administrative support inquiries.

2. Information We Collect

Account & Business Data: Name, business name, corporate email address, contact phone number, designation, billing address, and payment metadata.

Platform & Workspace Data: Leads, prospective homebuyer preferences, booking details, call logs, WhatsApp interaction histories, and inventory parameters uploaded by your account users.

Automated Technical Telemetry: IP address, browser type, operating system, session duration, features accessed, device details, and interaction logs.

Cookies & Web Beacons: We use cookies to manage active login sessions, remember workspace preferences, and analyze website traffic performance.

3. How We Use Your Information

We process your information for legitimate business purposes, including:

• To host, operate, and maintain your PropX CRM workspace.
• To execute AI functionalities, such as lead scoring, lead distribution, automated follow-up triggers, and sales reporting.
• To process subscription billing, issue tax invoices, and manage account renewals.
• To provide technical support, product updates, and administrative alerts.
• To comply with applicable statutory, tax, and legal obligations.

4. Third-Party Custom Integrations & Subprocessors

Subprocessors: We do NOT sell, rent, or trade your personal or business data to third parties for commercial gain. We share data only with vetted subprocessors necessary for delivering our services (e.g., cloud infrastructure hosts, WhatsApp API providers, payment gateways).

Custom Integrations: If Customer requests custom-built integrations connecting PropX to third-party tools, legacy ERPs, financial gateways, or custom communication channels, Customer acknowledges and agrees that PropX is not responsible for data security, compliance, or privacy practices on external systems outside PropX's direct control.

5. Data Security & Tenant Isolation

Security Safeguards: We deploy enterprise-grade administrative, technical, and physical safeguards — including SSL/TLS data encryption in transit, AES-256 encryption at rest, secure API integrations, role-based access control (RBAC), and logical tenant data isolation.

Storage Infrastructure: Data is stored on secure cloud infrastructure equipped with automated backup systems, firewalls, and active threat monitoring.

6. Data Retention & Deletion

We retain your account data and workspace records for the duration of your active subscription. Upon termination or expiration of your subscription, we store your workspace data for a default grace period of thirty (30) calendar days to permit data export, after which it is permanently purged from our primary servers, subject to legal and accounting retention obligations.

7. User & Customer Privacy Rights

Subject to applicable local privacy regulations, you have the right to:

• Access, review, or update administrative personal information stored in your account.
• Request the correction of inaccurate or incomplete personal records.
• Request the export of your Customer Data in a standard structured format (e.g., CSV or JSON).
• Opt-out of non-essential marketing communications at any time via the "Unsubscribe" link.
